4Sharing & Disclosure

HATH does not sell personal information. We share information only in the following circumstances:

4.1 Service Providers & Subprocessors

We share information with vetted third-party vendors who assist in operating our services. Each is bound by data-processing agreements requiring them to protect your data:

  • Render Services, Inc. — Backend API and database hosting. Data processed in the United States

4.2 HATH Field Staff

Your name, service address, scheduled appointment details, and any special property instructions are shared with the HATH crew assigned to your visit. Staff members are employees or contractors bound by confidentiality obligations. They are not authorized to retain, copy, or use your information beyond the specific service visit.

4.3 Legal Requirements

We may disclose your information if required to do so by law, subpoena, court order, or lawful government request, or to protect the rights, property, or safety of HATH, our members, or the public.

4.4 Business Transfers

In the event HATH LLC is involved in a merger, acquisition, or sale of assets, your personal information may be transferred. We will notify you via email and/or a prominent notice on our website before your information is transferred and becomes subject to a different privacy policy.

4.5 With Your Consent

We may share information for purposes not described in this Policy when we have obtained your explicit consent to do so.

5HATH Coin & Credit Data

HATH Credit (HTH) is a loyalty credit program — not a financial product, security, or investment. Credits are tracked solely for the purpose of rewarding membership and enabling redemption for HATH services.

As part of your membership, HATH maintains a ledger of your HATH Credit balance (referred to as "HATH Credit" or "HTH credits"). This ledger records:

  • Credits earned through monthly membership participation
  • Credits earned through milestone rewards (200, 400, 600, 1,000, and 1,500 credit thresholds)
  • Credits redeemed for HATH services
  • Manual credit adjustments made by HATH staff with a timestamped note
  • The running balance at each transaction point

This credit ledger is associated with your member account and is retained for the duration of your membership plus three (3) years thereafter to support accounting and dispute resolution. Credits have no cash value, cannot be transferred, and are non-refundable upon account cancellation except as expressly provided in the Terms & Conditions.

We do not share your credit balance with third parties. Credit history is used solely for your account statement, service billing calculations, and internal auditing.

6Retention & Deletion

We retain your personal information for as long as your account is active or as needed to provide services, comply with legal obligations, resolve disputes, and enforce agreements. Specific retention periods:

  • Account data: Retained for the life of your membership plus three (3) years
  • Payment records: Retained for seven (7) years as required by applicable tax and accounting law
  • Service visit logs: Retained for three (3) years
  • Email communications: Retained for two (2) years
  • System access logs: Retained for ninety (90) days, then automatically purged
  • Waitlist signups (non-members): Retained for two (2) years or until you request deletion

You may request deletion of your account and personal information at any time (see Section 8). Deletion requests will be honored within thirty (30) days, subject to our right to retain data required by law or needed to resolve outstanding disputes or financial obligations.

7Security

HATH implements commercially reasonable technical and organizational measures to protect your personal information from unauthorized access, alteration, disclosure, or destruction. These measures include:

  • Encryption in transit: All data transmitted between your browser and our servers uses TLS/HTTPS encryption
  • Hashed passwords: Member passwords are hashed using bcrypt before storage. Plain-text passwords are never stored
  • JWT authentication: Session tokens are signed, time-limited, and stored only in your browser
  • Access controls: Only authorized HATH staff and system components can access member data. Staff access is logged
  • Environment isolation: API keys, database credentials, and secrets are stored in environment variables and never committed to source code repositories

No method of electronic transmission or storage is 100% secure. While we strive to protect your information, we cannot guarantee absolute security. In the event of a data breach that materially affects your information, we will notify you as required by applicable Rhode Island and federal law.

8Your Rights

Depending on applicable law, you may have the following rights regarding your personal information:

  • Access: Request a copy of the personal information we hold about you
  • Correction: Request correction of inaccurate or incomplete information
  • Deletion: Request deletion of your personal information, subject to legal retention requirements
  • Portability: Request your data in a machine-readable format
  • Opt-out of marketing: Unsubscribe from non-essential communications at any time using the unsubscribe link in any email or by contacting us directly
  • Restriction: Request that we limit processing of your information in certain circumstances

To exercise any of these rights, email us at quotes@hathservices.com with the subject line "Privacy Request." We will respond within thirty (30) days. We may require identity verification before processing your request.

We do not discriminate against members who exercise their privacy rights. Exercising these rights will not affect the quality or availability of your HATH membership.

9Children's Privacy

HATH services are intended for homeowners and adults aged 18 years and older. We do not knowingly collect personal information from individuals under the age of 13. If we become aware that we have inadvertently collected information from a child under 13, we will promptly delete it. If you believe we have collected information from a minor, please contact us immediately at quotes@hathservices.com.

  • Posting the updated Policy with a revised "Last Updated" date at the top of this page
  • Sending an email notification to the address on file for active members at least fourteen (14) days before material changes take effect
